The questions that come up most before contracting a CMMS — pricing, rollout, data, integrations, offline — answered straight.

These are the questions that come up most before contracting a maintenance system, with the answer we give. Some are uncomfortable, which is exactly why it’s better to answer them now than in month three.

About pricing

Do you pay per user? No. Licenses are unlimited across all three plans. You can register your team, your clients and your subcontractors without the price changing.

So what makes the plans different? Support and resources, not product features. From Advanced up there’s a recurring executive report and on-demand follow-up meetings.

Do you publish prices? Not on the website. What we do publish is what each plan includes and what drives the price, which is half of what you need to decide. For the exact figure you need to talk to us, because it depends on scope.

Is there an infrastructure cost? No. It’s cloud-based: no server to maintain, no backups to manage, and no per-seat installation.

About the rollout

How long does it take to get started? Depends on scope, but a useful start takes weeks, not months, if you begin with critical assets instead of the full inventory. There’s a four-week plan in the first four weeks with a CMMS.

Who loads the data? The work of deciding what’s critical and what gets checked on each piece of equipment is yours: nobody from outside can do that. Everything else comes with support.

Do we need to migrate old history? Almost never worth it. What is worth bringing over is the asset inventory with its warranties and current documentation.

What if the team doesn’t use it? That’s the real risk in any rollout. The best predictor is whether a technician saw the app before the purchase decision. Bring one to the demo.

About field work

Does it work without coverage? Yes, the technician app does. It stores orders, assets and documents on the device and queues actions — changing status, logging hours, consuming materials, filling in a checklist, collecting a signature — until signal is back. If one fails, it stays flagged with its reason instead of disappearing.

And the client app? No. It installs on the device, but it doesn’t work offline. We always say this because it’s the most repeated confusion.

Can a client close or change an order’s status? No. It’s deliberately disabled: status is set by whoever does the work.

About data

Can I export my data? Yes: there’s a public REST API and a direct SQL connection, which are also the routes BI tools require.

What happens if I delete something by mistake? Deletion is soft, not hard: it can be recovered. And there’s a record of who created, modified or deleted each item.

Can I build a custom dashboard inside the product? There’s no visual builder. There are more than sixty reports with filters and export, and for custom dashboards your BI tool connects via API or SQL, which also lets you cross-reference with production or billing data.

About integrations

Do you integrate with my ERP? The useful answer isn’t yes or no: it’s which data travels and in which direction. Integrations lists the scope of each connector, which isn’t the same across all of them. For example, Sage X3 imports clients, addresses and items but does not export work orders.

What if my system isn’t on the list? That’s the most common case. There are generic routes: REST API, SOAP, direct database access, and CSV and FTP exchange.

About regulations

Do you have a legal maintenance module? No, and it’s better to explain that than to sell it. Legal maintenance is achieved with the preventive maintenance mechanism: the checklist the regulation requires, attached to the asset or its family, with its frequency. The proof comes from the order history, the completed checklists and the documentation with its dates.

Does the software guarantee I’m compliant? No. No software does. It records and proves what was done; the company is the one that complies with the regulation.

Are you ISO 27001 certified? Not yet, but we’re working on it: we’ve started the conversations and committed to obtaining it before 31 December 2027. We’d rather say so than imply otherwise.

About AI

What does it actually do? An assistant that answers questions about your assets, your plans and your history — also inside the app —, document reading to turn a supplier’s PDF into data, help drafting order text, and translation of your catalogs.

Does it decide anything? No. It proposes and answers; it doesn’t close orders or assign work. Every feature has its own toggle and most come switched off. Covered in detail in AI in GMAO Cloud.

About daily use

Do I have to configure every piece of equipment one by one? No. Checklists resolve in a cascade — asset, model, subfamily, family — so two hundred identical pieces of equipment get configured once and fine-tuned only where needed.

Does preventive maintenance only run by calendar? No. Also by counter: the asset carries hours, cycles or kilometers with a limit and a warning percentage, and once the threshold is crossed the order generates automatically. The sensible approach is combining both.

What happens if the technician doesn’t fill in the checklist? On preventive orders, the app won’t let them close it. On the rest, it’s deliberately not enforced: forcing fields that add nothing is the fastest way to get the system rejected.

Can I give a client access without them seeing other clients’ data? Yes. Each client sees their sites, their assets, their orders and the documents marked visible to them. Visibility is configured document by document, once.

What happens when a technician leaves the company? Their access is revoked and the user is kept. If it were deleted, every order they closed would lose its author and, with it, its value as proof.

The question you should ask us

And any vendor: what happens when I need something that doesn’t exist today. There are three possible answers — it can be configured, it’s on a future roadmap, or it’s billable custom development — and all three are legitimate. What isn’t legitimate is mixing them up.
